Challenge

Culturally And Linguistically Diverse (CALD) employees struggle to reach leadership positions and often lack the confidence to speak up or connect with their leaders. Leaders need to be more aware of their CALD employees and create an environment where everyone participates and has a voice.

"You know what? I'm gonna be honest with you. Sometimes with things like the 'NSW People Matter Employee Survey', I'm not bothered sharing how I really feel." - CALD STAFF PARTICIPANT

Goal

The proposed solution increases awareness around inclusive leadership in the NSW Government by creating a peer-to-peer portal that connects Culturally and Linguistically Diverse (CALD) staff members with CALD Champions. It provides education and mentoring to build a more diverse and inclusive workplace where staff can easily search and connect with mentors (CALD Champions) or register their interest.

The mandate

Increase awareness for inclusive leadership by 25% by the first quarter of 2025. Our product owner faced significant pressure from executive leadership to achieve this goal as quickly and efficently as possible. The mandate specified launching a pilot program by the end of 2024, which gave me 6 weeks to design, test, and deliver a minimum viable product (MVP).

Approach

The initiative working group included myself as the lead UX a content designer and a software engineer, worked closely with a service designer who was our main contact in terms of the business requirements and some of the preliminary research.

We needed to move fast, identify any gaps from the research that was conducted and translating them into opportunities and translating the findings into actionable recommendations, map out the journey to help inform the initial low fidelity prototype that we could get feeback on quickly. All within two sprints (4 weeks).

Sprint 0: Discovery & research review

  • Understand the business requirements including its mandate
  • Analysis of the exisiting research provided
  • Identify technical constraints
  • Run a workshop to help us priortise what we needed to learn and what is achievable

A list of quick wins ('low effort/high impact) things that formed the design requirements of the MVP.

Week 1-2: Research synthesis & low fidelity prototyping

  • Map out the journey using a combination of user scenarios and flow diagrams
  • Create low fidelity wireframes for key screens

CALD user flow
A flow diagram that shows two main paths - how CALD staff can find and connect with champions, and what happens when they can't find a match. This diagram helped us identify the seven key pages of the inititiative.

Week 3-4:

  • Review the design with the service designers and iterate based on the feedback received.
  • Leverage the design system to create high fidelity mockups and interactive prototype.

Week 5-6:

  • Prepare and conduct usability testing sessions with three CALD Champions and three CALD staff to identify areas for improvement.
  • Iterate on the design based on the feedback received.
  • Handoff the final designs and prototype to the development team for implementation.

Impact

I'm happy with the result given our tight deadline. We were able to start ahead of time in a 'sprint 0' where we defined scope. We mapped out the journey, and evaluated with actual users and leveraged the design system to move quickly. The MVP was delivered on time and within budget.
